Zoom for Pick a time Conference

Two basics

1. Make sure you are a licensed @graniteschools.org user!  If you are not you need to contact me via e-mail.
     a. Click on your icon at the top right
     b. Make sure your @graniteschools.org is there and says LICENSED.

2. Copy your  Personal Zoom link to paste in PickATme and the google form that was sent via e-mail.
It is on on your PROFILE PAGE when you log in.  You may need to scroll down.  If you do not see the whole linkg you may need to click on the closed eye!

On the Virtual Meeting PTC night you will log into zoom and start the meeting. By
1. Clicking on Meeting
2. Clicking "Personal Room" tab at the top
​3. Click Start.

Click the edit button! Then...
1. Check the Waiting room box.
2 Check the Video boxes.

Pick-A-Time Login

We used this last year so either log in, click on forgot password or create your own account!  Go here to pickatime (https://pickatime.com/granitesd)  Fill out the info.  If you need to create an account use your @graniteschools.org e-mail and I suggest your same AD password.
At the top click the "Admin UI" link.
"Pick A Time" has many options and details but you (teachers) really only need to do two (2) things.
  1. Paste your Zoom link in the "Virtual Room" column so that parents will get the link in their e-mail. 
    Also add your room number.  Turn in your zoom link here too.
  2. Block out your 4 5-min. breaks.  If you do not do this in time you may not have any breaks.  Parents start signing up on Feb. 1.
    You can log back in to check your schedule before conferences.
Written instructions?  Going from memory!
  1. Log in to Zoom.us make sure you have your @graniteschools.org and are licensed
  2. Under Profile find your personal link. Click Customize and it should change to your username.
  3. Go to Meetings on the left. Personal Room at the top. Click EDIT.  Be sure passcode is unchecked. Check "Allow meeting room".  Allow/require video for both. Copy the personal meeting room url.
  4. Log in to Pick a time. Click on Admin UI at the top
  5. Click on Events / Management on left. Pick the (Virtual event) click the orange button (Go to event)
  6. Click the X in the blue boxes to block out 4  5 minute time slots.
  7. On the Far Right are a few columns.  One says virtual link.  PASTE  your Zoom URL there.
  8. Add your room # as well.
  9. There is no Save button.
  10. At the top click the Drop down.  It should say the Virtual night... Change it to the in PERSON night.
  11. Block out your 4 time slots again for the second evening.
  12. On the far right again ADD your room number.
  13. There is no save option, but be sure to log out of PickATime.

Sign up is set to close for parents an hour before conferences.  Log back in and print or view your schedule.  Your parents should show up in your Zoom waiting room.  Let them in, in order according to your PickATime schedule.

Zoom Update

Now that we have our own Zoom account via Granite District and not the state there are a few, but slight, differences.
  1. We found that many users had the Breakout room options turned off.  It is still there but you may need to turn it on.
  2. You can now for a log-in with a school e-mail.  Which will display their "proper" names.  Also good for attendance purpose.
  3. Turn individual chats,  screen sharing, backgrounds and name changing on or off!

    There are too many options to go through them all but watch the video below for some import basic ones for teachers.

These options are best set using the https://zoom.us/ website and can be "somewhat" edited in individual meetings.

I keep saying how “Complicated” zoom is because of the options at set up.

It does not have to be!

Zoom Safely

Zoom has many options and has always been a great tool.  With many options comes much confusion and … many options.
 
One option is for a user (such as teenager) to change their display name and picture.  I am sure you can imagine where that could go…(and has gone).  Of course teachers should kick anyone out with improper names.  BUT What if one Kid types another kids name… and says “rude” things?...
 
Have less fear as there are options!
  1. Don’t use zoom if you are concerned.
  2. Google Meet and Teams both force users to their respective usernames and images.
 
If you use Zoom (options) details are below.
  1. Force the user to “require authentication” see below on what the teacher does and what the student will see.
  2. Or, after your meeting starts In the participants list you have an option to Allow (by checking) or NOT allow by unchecking the box that says “Allow user to change display name”  Be sure it is UNCHECKED.  It seems to be checked by default.
